Reporting to the site's Project Manager, the Site Clerk plays a key role in supporting the construction activities on a large scale multi-family construction project.
Financial Process
- Serve as the main point of contact for issuing and managing purchase orders with Procore
- Entry of month end invoices for client billing in to Procore
- Follow up with suppliers and subtrades for packing slips, invoices, and supporting documents as required
Construction Project Support
- Assist the Project Manager with submittals, requests for information (RFIs), site instructions (SI), or other information needed as part of change management
- Coordinate supporting drawings and information as needed for project staff
- Support site Quality Control processes and systems
Communication and Coordination:
- Serve as the main point of contact for document-related inquiries from site staff, contractors, and external parties.
- Assist in preparing and distributing site meeting minutes, project reports, and other communications.
- Coordinate deliveries, materials, and contractor schedules with site management.
Record Keeping and Reporting:
- Maintain daily records of site activities, including worker attendance, equipment usage, deliveries, and inspections.
- Track progress against the project timeline and provide regular updates to the Site Manager.
- Monitor stock levels of materials and raise purchase orders for replenishment as required.
Health & Safety Support:
- Keep records of safety inspections, toolbox talks, and incident reports.
- Maintain daily log of manpower by all trades and updating key items in Procore
General Administrative Support:
- Assist in preparing payroll records, timesheets, and expense reports for site personnel.
- Order and manage office supplies for the site.
- Provide general clerical assistance such as photocopying, scanning, and email correspondence.
