The Receptionist plays a key role in ensuring smooth office operations for our group of companies. This individual will be the first point of contact for visitors, clients, and staff, while also managing day-to-day office administration tasks. The role requires strong communication skills, attention to detail, and the ability to multitask in a dynamic environment.
Key Responsibilities:
Reception Duties:
- Greet and welcome visitors, directing them to the appropriate departments or contacts.
- Answer and direct phone calls in a polite and professional manner.
- Maintain the reception area to ensure a clean and professional appearance.
- Manage incoming and outgoing mail, packages, and deliveries.
- Handle general inquiries and provide accurate information about the company and its services.
Office Management Duties:
- Oversee the organization and maintenance of office supplies, equipment, and facilities.
- Ensure the smooth operation of office services such as cleaning and maintenance.
- Coordinate with vendors for office repairs and orders.
- Assist with scheduling meetings and appointments for executives and staff.
- Support accounting and finance teams with basic administrative tasks, such as filing and invoice management.
- Assist in onboarding new employees by coordinating office setup (desks, supplies, equipment).
Administrative Support:
- Prepare and distribute memos, emails, and other correspondence as directed by management.
- Assist the Chief Financial Officer with clerical tasks, such as data entry, expense tracking, and report preparation.
- Preparation of basic monthly reports as directed by the Chief Financial Officer
- Organize and maintain files and records, ensuring they remain updated and easily accessible.
Qualifications and Skills:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Proven experience as a receptionist, office assistant, or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Ability to work independently and handle confidential information with discretion.
Work Environment:
This role is based in our head office, and the candidate should be comfortable working in a fast-paced, often dynamic environment. Occasional interactions with construction personnel and contractors are to be expected.
