Receptionist

Receptionist
The Receptionist plays a key role in ensuring smooth office operations for our group of companies.  This individual will be the first point of contact for visitors, clients, and staff, while also managing day-to-day office administration tasks. The role requires strong communication skills, attention to detail, and the ability to multitask in a dynamic environment.

Key Responsibilities:

Reception Duties:

  • Greet and welcome visitors, directing them to the appropriate departments or contacts.
  • Answer and direct phone calls in a polite and professional manner.
  • Maintain the reception area to ensure a clean and professional appearance.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Handle general inquiries and provide accurate information about the company and its services.

Office Management Duties:

  • Oversee the organization and maintenance of office supplies, equipment, and facilities.
  • Ensure the smooth operation of office services such as cleaning and maintenance.
  • Coordinate with vendors for office repairs and orders.
  • Assist with scheduling meetings and appointments for executives and staff.
  • Support accounting and finance teams with basic administrative tasks, such as filing and invoice management.
  • Assist in onboarding new employees by coordinating office setup (desks, supplies, equipment).

Administrative Support:

  • Prepare and distribute memos, emails, and other correspondence as directed by management.
  • Assist the Chief Financial Officer with clerical tasks, such as data entry, expense tracking, and report preparation.
  • Preparation of basic monthly reports as directed by the Chief Financial Officer
  • Organize and maintain files and records, ensuring they remain updated and easily accessible.

Qualifications and Skills:

  • High school diploma or equivalent; additional qualifications in office administration are a plus.
  • Proven experience as a receptionist, office assistant, or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Ability to work independently and handle confidential information with discretion.

Work Environment:


This role is based in our head office, and the candidate should be comfortable working in a fast-paced, often dynamic environment. Occasional interactions with construction personnel and contractors are to be expected.
